ADMINISTRATIVE

1 Sunshine primarily focuses on providing office-based business services for Florida community associations. While we are experienced and licensed Florida community association managers, we do not provide management services through Sunshine Association Partners.
2 Sunshine does not attend Board or committee meetings in person or via Zoom.
3 Sunshine does not do any onsite meetings or inspections.
4 Sunshine can provide additional business services at an hourly rate if requested.
5 Contractor relations and quality of work issues to be handled by Association.

Meetings

While traditional management companies might attend your meetings, it’s a task that substantially inflates costs. We instead leave those meetings in your capable hands. We're always available to support your Board's leadership; however, we do not attend meetings onsite or online.

Community Inspections

We believe no one knows your community better than you do. We equip your Board with the tools to assess and address such community needs effectively. We will handle the administration and mailing of homeowner notices; we do not, however, perform inspections.

Direct Vendor Relations

Your community’s relationships with vendors are vital. We support you maintaining direct contact and one-on-one interactions with your service providers to ensure that every engagement is aligned with your community’s unique needs, preferences, and standards. And while we may not work onsite with your vendors and contractors, we can handle the specifications, contracts, invoices, and payments!

What Sunshine Association Partners Will Provide to Your Board of Directors and Community

  • Accounts Payable Board Members can view and approve Association invoices through a secure online portal. Once approved, vendor payments are issued the following business day—keeping your vendors happy and projects moving forward. (Includes processing for up to six invoices per month; a $3.50 fee applies for each additional invoice.)
  • Accounts Receivable Assessment invoicing and collections are managed in full compliance with Florida statutes, your Association’s governing documents, and its adopted Collection Policy. Homeowners may submit payments by mail or through a secure online homeowner portal.
  • Agendas & Minutes Preparing accurate minutes can be a challenge for volunteer-run communities. We make it easy: simply complete our minutes template with your meeting notes and return it to us. When submitting the notes, be sure to include any agenda items for your next meeting. We’ll use that information to create a professionally formatted draft of the minutes and prepare the upcoming agenda. Draft minutes will be emailed to the Board for review and posting prior to approval at the next meeting.
  • Annual Budget Development We will prepare and deliver a draft annual budget for the Board’s review and revision, serving as a starting point for the budget adoption process.
  • Annual Tax Filing & Financial Reporting The Board may choose to engage a Sunshine-affiliated CPA or another CPA of their choosing to complete the Association’s annual tax return and year-end financial report (audit, review, or compilation). Associated fees are paid by the Association.
  • Architectural Request Processing Architectural modification requests are managed through our user-friendly online system, providing a faster, more efficient process for both homeowners and the Architectural Review Committee.
  • Board Consultation Administrative matters included in your service package—such as routine document handling, standard communications, and day-to-day support—are managed separately and do not count against your monthly consultation time.
    The Basic Package includes up to 30 minutes per month of dedicated support from a senior member of our team; the Premium Package includes up to 60 minutes. (These consultation sessions shall not be held during an official Board or committee meeting.) Consultations may address strategic, financial, operational, or policy-related topics and can be conducted via phone, Zoom, or email—whichever method the Board prefers.
  • Board Portal Board Members will have 24/7 access to financials and key Association data through a secure online portal.
  • Collections (Pre-Suit) There is no cost to the Association for attorney demand letters or lien filings when using a Sunshine-affiliated collections attorney. All legal and collection costs are billed directly to the delinquent homeowner.
    If your Association lacks a written Collection Policy, we will provide a draft for Board and legal review. When requested, Sunshine will act as your liaison with collections legal counsel for coordination and communication with the Board.
  • Community Correspondence We will print and mail community-wide notices, newsletters, or other correspondence as needed. (Printing and postage costs are billed separately.)
    Mail received at Sunshine (if serving as your official mailing address) will be scanned and forwarded to your designated Board liaison.
  • CPA-Prepared Financials Monthly financial reports are prepared by a certified public accounting firm using the accrual method of accounting. Each package includes:
    • Balance Sheet
    • Operating & Reserve Income Statements
    • General Ledger & Trial Balance
    • Bank Statements & Reconciliations
    • Accounts Receivable Aging
    • Prepaid Assessments Report
    • Accounts Payable Aging Report
  • Covenant Enforcement Processing Once you complete an inspection and submit your notes, our team will prepare and mail violation letters according to your instructions and enforcement procedures.
  • Financial Security / Internal Controls
    • Your new operating account with 5-star rated American Momentum Bank offers 24/7 access for all Board Members.
    • All owner payments go directly to the Association’s bank account via a secure lockbox.
    • Vendor payments require dual online authorization by two Board Members unless set up on autopay.
    • Sunshine is one of the few firms in Florida whose monthly financials are prepared by a third-party certified public accounting firm.
  • Foreclosure Administration When authorized, Sunshine will initiate lien foreclosure proceedings in coordination with the Association’s attorney, pursuant to your Collection Policy.
    If the policy does not mandate foreclosure, the Board will be consulted for direction. Foreclosure legal fees are the responsibility of the Association or the delinquent owner, as applicable.
  • Gate Administration If your access control system is internet-enabled, Sunshine will manage gate access updates and coordination on your behalf.
  • Insurance Review At your request, we’ll provide an initial insurance review and report through our insurance administrator and assist with the insurance renewal or procurement process.
  • Member Directory & Mailing List We maintain your official homeowner directory and mailing list, keeping it up to date and distribution-ready.
  • Member Help Desk Homeowners can reach our community assistance team by phone or email (availability varies by service package). We’ll handle general inquiries and escalate issues requiring Board attention.
  • Member Portal The online portal allows homeowners to access documents, submit applications, view financials, contact Sunshine, and make payments. The site also allows compliance with Florida statutory requirements for document posting.
  • Payment Plans As needed, we will prepare and manage payment plans for delinquent homeowners in accordance with the Association’s approved Collection Policy.
  • Resale & Refinance Administration We process estoppel requests and provide required documentation to closing agents in compliance with Florida law. All associated fees are paid by the requesting party—not the Association.
  • Reserve Transfers When using Sunshine’s integrated bank for reserve investments, we will facilitate periodic reserve fund transfers in accordance with the approved budget and reserve study recommendations.
  • Email Blasts Sunshine or the Board of Directors can send out community-wide notifications via email with the click of a button—keeping your members informed and engaged.
  • Vendor Contract Review Upon request, we will conduct an initial review of vendor contracts and provide a summary report. (Note: This review is conducted by a contracts specialist, not an attorney.)
  • 1099 Processing We handle the preparation and mailing of annual IRS Form 1099s for Association contractors in compliance with federal reporting requirements.
